That sounds obvious, but most software decisions in dealerships are made from a brochure and a polished demo. Six months later the sales team is back on WhatsApp, the accounts team keeps its own sheet, and the MD is still waiting for the evening Excel. This checklist is written for owners, MDs and general managers of Indian car dealerships who want to avoid that outcome.
What is the best software for dealer management?
There is no honest single answer, and you should be wary of anyone who gives you one. The best system for a single-brand showroom with fifteen staff is not the same as the best system for a group with several brands and branches across two states. What you can say is what good looks like:
- One customer record from enquiry to RTO, with no re-typing between steps
- Rules that match your dealership: who approves discounts, how leads are assigned, which reports go to whom
- A mobile app that sales consultants open by habit, not because a manager forces them to
- Numbers the MD trusts, without someone building them by hand every evening
- Clear pricing and a clear exit: you can export your data if you leave

Before you look at vendors: write down your own process
Spend one hour with your sales manager and accounts head and write the journey of one real customer on a single page: where the enquiry came from, who called, when the test drive happened, who approved the discount, when the receipt was issued, when the car was allotted, invoiced and delivered, and when the number plate and RC were handed over. Note every place where data is typed twice or lives in someone's phone.
That page is your test script. Every vendor should be able to run it on screen.
The 2026 checklist: what Indian dealers should check
1. Lead capture from portals, Meta ads and walk-ins
Indian dealerships get enquiries from more places than ever: walk-ins, phone calls, the dealer website, the carmaker's campaigns, Facebook and Instagram lead ads, and portals such as CarDekho, CarWale and 91Wheels. Check which of these arrive in the system without anyone typing, and how fast a salesperson hears about a new lead.
Speed matters. A US study by Pied Piper PSI (Internet Lead Effectiveness study) found that dealers who respond quickly and personally to web leads sell around 50% more vehicles. A system that captures leads but lets them sit unassigned is not doing its job.
2. Lead assignment and duplicate control
Ask how new leads are assigned: round robin across the team, by territory or pincode, or by hand. Ask what happens when the same phone number comes in twice from two sources. Duplicate leads mean two consultants calling one customer, and that customer losing trust in both.
3. Test drives with proof
A good system books the slot, checks that the demo car is free, records the customer's consent (for example with an OTP) and stores the driving licence and photos of the car before and after. This protects you in damage disputes and tells you which consultants actually take customers on drives.
4. Booking approvals and discount control
This is where money leaks. Check that a booking with a discount cannot be confirmed until the right manager approves it, that a rejection needs a reason, and that every booking receipt is recorded with its attachment. Ask to see the approval on a manager's phone.
5. OEM targets and model-wise tracking
Your carmaker sets targets by model and month. The DMS should hold those targets and show achievement by branch, model, variant and salesperson while there is still time in the month to act, not after it closes.
6. Stock, allotment and ageing
Check that stock is visible by location, model, variant and colour, that allotment to a booking is recorded, and that ageing stock is flagged in buckets. A car that sits for months ties up cash that could be working elsewhere.
7. Invoice, delivery and RTO tracking
After the invoice come the delivery checklist, the challan and registration. In India, registration runs through Vahan, the national vehicle registration system of the Ministry of Road Transport and Highways, and in some states, dealers can handle registration at the dealer point. Ask how the DMS tracks each RTO stage, from temporary number to permanent number, plate and RC handover. Also ask whether status is pulled from Vahan automatically or updated by your staff; both can work, but know which one you are buying.
8. GST, TCS and accounts reports
Car invoices carry GST, and TCS applies to some car sales. GST rates on cars changed from 22 September 2025, so check that tax masters are easy to update without waiting for the vendor. Ask to see the GST and TCS reports, day-wise collection reports and receipt vouchers. If you use separate accounting software, ask exactly how data reaches it, and do not accept "integration" as an answer without a demo.
9. Multi-branch and multi-brand groups
If you run several branches or brands, check that one login can switch between them, that each branch can have its own rules and numbering, and that the MD can see the whole group and drill down to a single branch.
10. A mobile app your sales consultants will use
Most of a DSE's day happens away from a desk. Ask to see the iPhone and Android app doing real work: new-lead alerts, today's follow-ups, test drives, bookings and receipts. If the vendor shows only a desktop screen, that is a warning sign.
11. WhatsApp at each stage
Indian customers live on WhatsApp. Check whether the system can send templated updates at stages such as test drive, booking, invoice and delivery, and whether it can be switched on per dealership. Ask who pays for WhatsApp messages and how.
12. Data export and ownership
Ask for an Excel export of leads, bookings and stock during the demo. Ask in writing what happens to your data if you leave. Your customer list is one of the most valuable things your dealership owns.
13. Onboarding and support
Ask for a written onboarding plan: who imports your existing data, who sets up roles and approval rules, who trains your consultants, and in which language. Ask how support works after go-live and who your contact is.
14. Pricing you can read
Ask for a per-user monthly price, what each plan includes, and what costs extra, such as WhatsApp messages, extra branches or custom reports. Public pricing is a good sign. You can compare against our published Cyepro plans and pricing.

- "What does the system not do yet?" A good vendor answers this one plainly.
Red flags
- The vendor will not demo with your own process, only with a prepared script
- No written pricing, or pricing that changes after the demo
- "We integrate with everything", with no file format or live example
- Only a desktop demo when your team works on phones
- Promised results, such as a fixed percentage increase in sales, with no evidence from dealers like you
- No clear answer on data export and what happens if you leave
How to score your shortlist
Score each vendor from 1 to 5 on the fourteen checklist areas, and weight the areas that hurt your dealership most today. If discounts leak, booking approvals count double. If the MD never sees numbers on time, reporting counts double. Then ask two or three of your sales consultants to try the mobile app for a day. Their verdict often decides whether the system is used at all.
