What is a dealer management system?

A dealer management system (DMS) is the software a car dealership runs its business on. It records every customer from first enquiry through test drive, booking, invoice, delivery and RTO registration, and keeps stock, exchange cars, finance, insurance and accounts linked to that same customer, so owners and managers see one set of numbers.

Why dealers move to a DMS

What a DMS changes in an Indian showroom

In most dealerships the work is spread across a CarDekho inbox, a walk-in register, Excel price sheets and a dozen WhatsApp groups. Discounts get agreed on a phone call, and only the RTO clerk knows where a number plate is.A DMS puts all of that on one customer record, with stage-by-stage WhatsApp messages to the customer that can be switched on for each dealership. 1. 01 · Enquiry

Every lead lands in one list, with an owner and a dated next step

Leads from CarDekho, CarWale, 91Wheels, Meta lead ads (where set up for your dealership), your website and Excel land in one list. Duplicates are blocked; new leads are assigned by round robin, territory (pincode, urban or rural) or by hand.

    2. 02 · Test drive

      Test drives with customer OTP

Book a slot, verify the customer with an OTP, and take licence and before-and-after vehicle photos. Home visits work the same way.

    3. 03 · Booking

Discounts go to a manager for approval

Price and discount go to a manager for approval; a rejection needs remarks. Receipts carry attachments and are recorded against the booking, next to the on-road price sheet and allotment.

    4. 04 · Invoice and delivery

      Invoice, delivery checklist and challan

Invoices with the tax breakdown and your own number series, a delivery checklist and challan. The cashier marks the invoice complete.

    5. 05 · RTO

Every car tracked to delivery and RTO

Seven stages for private registrations and four for business: temporary and permanent numbers, plate and smart-card handover and documents, updated by your team.

    Modules

Every module a dealership runs on, in one login.

Fourteen modules sharing one customer record, one vehicle master and one set of roles.

    DMS vs CRM

A CRM wins the sale. A DMS runs the dealership.

Many Indian dealers buy a CRM for leads and keep everything after the booking in Excel. A DMS covers both halves.

What to check before you choose a DMS

Questions worth asking any vendor, including us.

    • Which lead sources does it take in, and which would be switched on for you?
    • Who sets the approval rules for discounts, lead drops and exchange prices?
    • What happens to the customer record after the invoice?
    • Where do stock, exchange, finance and insurance details live?
    • What can sales staff do from the phone app?
    • How does it handle several brands and branches?
    • What does it not do today, for example accounting exports?

    FAQ

    Frequently asked questions

What is a dealer management system for a car dealership?
A dealer management system, or DMS, is the software a car dealership runs its business on. It records each customer from the first enquiry through test drive, booking, invoice, delivery and RTO registration, and links stock, exchange cars, finance, insurance, accessories and accounts to that same record. Owners and managers then work from one set of numbers instead of registers, Excel sheets and WhatsApp groups.
What is the difference between a DMS and a CRM?
A car dealership CRM manages leads and follow-ups until the customer books. A DMS runs the whole dealership: the same sales funnel plus vehicle stock and allotment, exchange evaluation, invoices, delivery, RTO registration, finance and insurance add-ons, and accounts. Cyepro DMS includes the CRM, so a lead captured from CarWale on Monday is the same record that is invoiced, delivered and registered later.
Does Cyepro DMS work with CarDekho, CarWale and Facebook leads?
Yes. Cyepro takes leads from CarDekho, CarWale and 91Wheels, Facebook and Instagram lead ads (where set up for your dealership), your dealership website and Excel uploads, and your team can add walk-ins and calls from the app. Duplicate phone numbers are blocked, and each new lead is assigned by your rules: round robin by role, territory by pincode, or manual allocation. Which sources are switched on is set up for each dealership.
    Can Cyepro track RTO registration?
Yes. The RTO tracker follows seven stages for private registrations and four for business registrations, including temporary and permanent numbers, number plate and smart-card handover, and the documents for each step. Staff update the stages; Cyepro does not pull status from Vahan automatically. So when a customer calls to ask about the RC or number plate, anyone at the dealership can answer from the screen.
Does it handle GST and TCS reports and accounts vouchers?
Yes. The accounts module covers account heads, voucher types, cashier opening balance, cash denomination, day-wise collections and payments, and GST, TCS, FASTag and life-tax reports, with Excel bulk upload for more than thirty masters. Cyepro does not export to Tally today, so if your accountant works in Tally, plan for the reports to be entered there.
How much does a dealer management system cost in India?
Prices vary widely between vendors and by the number of users and branches. Cyepro publishes its plans: Starter at ₹2,499 a month for one user, Team at ₹4,999 a month for up to five users, and Scale at ₹9,999 a month for up to ten users. Multi-branch and multi-brand groups get custom terms. Every plan starts with a demo using your own process.
