What is car showroom management software?

Car showroom management software runs the sales floor of a car dealership. It records walk-ins and calls, assigns each lead to a salesperson, books test drives, prepares quotations, routes discounts for approval and tracks every car to delivery, giving the showroom manager one live view of the day instead of registers and WhatsApp groups.

    On the floor

From the front desk to the delivery bay.

Six stations every Indian showroom has, each one recorded against the same customer.

    • Reception: every walk-in recorded

The receptionist records each walk-in with name, phone number and the model they came for. Repeat visitors are caught by the duplicate phone check, and complaints are logged at the same desk.
    • Lead assignment by your rules

Round robin by role, territory by pincode or urban and rural area, self-assignment or manual. The salesperson's phone buzzes the moment a lead is theirs, and managers can transfer or reshuffle leads.
    • Test drives with customer OTP

Book a slot, check the demo car, verify the customer with an OTP and take licence and before-and-after photos. The customer gets WhatsApp updates when the drive is booked, moved, cancelled or done.
    • Quotations and proforma PDFs

On-road price components, OEM and corporate offers come from one vehicle and price master, so every branch quotes the same way. The proforma goes to the customer as a PDF.
    • Deliveries with a checklist

Invoice with the tax breakdown, cashier confirmation, a delivery checklist, the challan and a delivery PDF. Registration then moves to the RTO tracker on the same record.
    • Follow-ups that do not live in memory

My Tasks shows each salesperson today's, pending and rescheduled follow-ups with their age. Dropping a lead needs a reason and a manager's approval, so lost-reason data builds up on its own.
    Booking approvals

Discount approvals and receipts, on one record.

Discounts go to a manager for approval, and receipts are recorded against the booking. The salesperson sends the price, discount and exchange figures to the sales manager, who approves or rejects with a remark. The booking receipt, on-road price sheet and booking PDF sit on the same record, so the MD and accounts see exactly what was promised and what was received.

    • Manager approval for price and discount; rejections need remarks
    • Booking receipts with attachments, linked to the customer
    • Vehicle allotment and de-allotment from the same screen

    For the showroom manager

Know the day's numbers without calling anyone.

The dashboard shows live enquiries, test drives, bookings and deliveries against target for the branch and for each salesperson. Every night a summary report goes to the roles you choose on WhatsApp, so the morning meeting starts with yesterday's numbers, not with a round of phone calls.

    • Target vs achievement by salesperson, team and branch
    • Leaderboards that the team can see
    • Nightly report on WhatsApp to managers and owners

    FAQ

    Frequently asked questions

What is car showroom management software?
Car showroom management software runs the sales floor of a car dealership. It records walk-ins and calls, assigns each lead to a salesperson, books test drives, prepares quotations, sends discounts for approval and tracks every car to delivery. Cyepro does this as part of a full dealer management system, so the showroom, the stock yard and accounts work from the same customer record.
How are leads assigned to salespeople?
You choose the rule for each dealership: round robin by role, territory by pincode or urban and rural area, self-assignment, or manual allocation by a manager. New leads from walk-ins, calls, CarDekho, CarWale, Facebook and Instagram ads (where set up for your dealership) and your website follow the same rule. The salesperson gets a push notification on the Cyepro app, and managers can transfer or reshuffle leads.
How does the test drive OTP work?
When a salesperson starts a test drive, Cyepro sends a one-time password to the customer's phone. The customer reads it out, which confirms they agreed to the drive and that the number on the lead is real. The salesperson also takes a photo of the driving licence and before-and-after photos of the demo car, so condition questions have an answer later.
Can a sales manager approve discounts from a phone?
Yes. Booking price and discount requests go to the sales manager for approval in the Cyepro app or on the web. The manager approves, or rejects with a remark so the salesperson knows why. Booking receipts are attached to the same record, which means the manager, accounts and the MD see the same discount and the same money received.
Does it send WhatsApp messages to customers?
Cyepro can send stage-based WhatsApp messages: when an enquiry is created, a test drive is booked or rescheduled, a booking is made, and at invoice and delivery. Messages use approved templates and are switched on for each dealership during setup. The nightly sales report can also be sent to managers and owners on WhatsApp.
Does it work for a dealership with several showrooms?
Yes. Each showroom is a branch with its own team, targets and reports, and managers can see one branch or all of them. Groups that run more than one brand use a single login with a switcher between brands and branches. Roles, menus and approval rules are set up for your group without custom code.
